POSITION SUMMARY

  • Provide the administrative and office support to ensure that business objectives are met.

  • Provides a wide range of administrative duties with regional scope.

  • Compiles and analyzes confidential and complex data for specialized reports, manages calendars, develops presentation material providing organizational charts and graphs, and coordinates meeting agendas, travel and purchasing.

  • Scope of work includes day to day support of CEO, COO, CMO, CFO; resource to management team and to health plan staff.

Fundamental Components:

  • Screens telephone calls, answers routine questions and furnishes information

  • Opens, sorts, distributes, scans, organizes, prioritizes and responds to mail

  • Coordinates calendars; scheduling meetings and take minutes, make room reservations and hospitality arrangements

  • Operates and maintains various office equipment

  • Orders and maintains office supplies

  • Significant portion of duties may be in support of basic technical discipline (e.g., sales, underwriting, network, etc.)

  • Organizes and maintains databases, files of supervisor's correspondence, records etc. following up on pending matters

  • Coordinates land and air travel arrangements

  • Produces a variety of correspondence, reports, and presentations using the appropriate software

  • Serves as manager delegate, processing e.Service and HR transactions as needed.

  • Responsible for coordination of meeting agendas and taking minutes.

  • Accountable for follow-up on issues identified in meetings (e.g., staff assignments, etc.)

  • Communicates and/or coordinates manager's instructions and requests with various individuals and/or departments. Coordinates Managers' outside professional and civic obligations.

  • Prepares specialized reports, gathering, summarizing and analyzing data and developing recommendations for manager.

  • Participates and/or leads special projects.

  • Strong proficiency with MS Office Suite and applications, such as VISIO, SharePoint, PowerPoint, Word, Excel and Project.

  • Key resource for recruitment processes, workspace assignments, assisting new hires, training registrations, new employee orientation and onboarding and implementation related work tasks as assigned.

BACKGROUND/EXPERIENCE desired:

  • 5+ yrs advanced administrative or technical support experience.

  • Health care, managed care, or other related industry experience is preferred. Familiarity with Medicaid is a plus.

  • Exceptional organization, communication (verbal and written) and time management skills required.

  • Familiarity and experience with human resources processes including, I9 and other new employee onboarding tasks is a plus.

EDUCATION

The highest level of education desired for candidates in this position is a Associate's degree or equivalent experience.
