Position Summary/MissionTo provide task management, gate-keeping and operational support to VP, International Operations. Provide a wide variety of general administrative support that include but not limited to: composing routine correspondence, compiling data for reports, file maintenance, answer telephones and coordinates calendar and complex travel arrangements.Fundamental Components & Physical Requirements include but are not limited to (* denotes essential functions)• Determine priorities, recording tasks, assignments and monitoring timeliness so that things are done in good time• Act as “Gate-keeper by filtering correspondence, tasks, and deal with or refer matters as appropriate• Draft correspondence as appropriate attended by the VP, International Operations and ensure all are prepared in a timely manner and to a consistent standard and quality• Coordinates office facilities including space, furniture, equipment, building and maintenance, etc. involving the appropriate employees to train and handle on an ongoing basis• Responsible for coordination of meeting agendas and accountable for follow-up on issues identified in meetings as assigned• Communicates and / or coordinates manager s instructions and requests with various individuals and/ or departments· Liaise with other departments such as Finance and IT to ensure proper business continuity. • Participates and / or leads special projects• Requests appropriate access for systems, etc. when needed through appropriate eService channelsBackground/Experience Desired· Advanced computer skills with such programs as Outlook, Word, Excel and PowerPoint• Previous experience in personal assistant and administrative experience.• Previous experience in office administration.• Proven track record in effective communication and managing change and work processes• Proven track record in organizing and maintaining accurate office record systems.• Fluent in written and spoken English.University degree or equivalent experience.Additional Information (situational competencies, skills, work location requirements, etc.)Excellent presentation skills.
