POSITION SUMMARY

Executive Assistant for Executive Director and North Carolina Leadership Team for ActiveHealth Management in High Point, NC. Provides executive administrative and project support to management and Operations staff. Independently provide advanced, diversified and confidential administrative support requiring broad experience, skill and knowledge of organization operations, policies and practices. Initiates correspondence, resolves complex inquiries, coordinates complex meetings and travel arrangements. Coordinates manager's time commitments both internally and externally with authority to handle most issues in manager's absence. Supports multiple leaders.

Fundamental Components:

Provide office support needed to ensure business objectives are met.

Manages workflow for incoming items to ensure that issues are directed to the appropriate area (particularly in Manager's absence).

Monitors status of delegated items to ensure closure.

Majority of work involves confidential business material. Maintains confidentiality.

Triages telephone calls ensuring that correct action is taken without direction from the Manager.

Monitors status to ensure closure.

Authorized to manage calendar, making changes independently, for both internal and external executive time commitments.

Manages daily calendar to ensure that priorities are accomplished and unplanned items are address appropriately.

Organizes and maintains files of supervisor's correspondence, records etc. following up on pending matters.

Develops and monitors budget for cost center(s).

Prepares complex budget reports.

Leads special projects

Strong organizational skills.

In Manager's absence, has authority to handle most issues.

Drafts correspondence for Manager's final approval.

BACKGROUND/EXPERIENCE desired:

5+ years administrative support experience

Tenacious follow-up / follow through

Excellent PowerPoint presentation & Excel skills

Calendar management & meeting Logistics

eService expert including Concur Travel & Expenses

Office management support including AV equipment and copier maintenance

Monthly Newsletter to keep WAH and office staff connected

Ariba procurement system

EDUCATION

The highest level of education desired for candidates in this position is a Bachelor's degree or equivalent experience.

Work closely with the NC Leadership Team which includes: Executive Director, Medical Director, Account Executive, Business Projects Program Manager, and Clinical Operations Director. There are two Clinical Operations Managers and several supervisors that Executive Assistant will provide administrative support to High Point location. Highly valued member of the NC Team.
