POSITION SUMMARY

As a member of the Digital Program Delivery team, the Executive Assistant will serve as a key member of the team responsible for coordination of activities in Aetna's Hartford, CT office and will provide the executive office support needed to ensure business objectives are met.

Responsibilities will include initiating correspondence, resolving complex inquiries, and coordinating complex meetings and travel arrangements. This position will ultimately report to the VP of Digital Program Delivery, while providing advanced administrative support across the team.

Fundamental Components:

-Independently provides advanced, diversified and confidential executive support requiring broad experience, skill and knowledge of organization operations.

-Initiates correspondence, resolves complex inquiries, coordinates complex meetings and travel arrangements.

-Manages multiple calendars, including room coordination and hospitality.

-Coordinates land and air travel arrangements for international and domestic travel.

-Manages competing priorities and ensures deliverables are completed timely.

-Develops presentation materials.

-Coordinates meeting agendas.

-Acts as a delegate for Manager Activities in eService/UltiPro (i.e. HR changes, Time and Attendance etc.).

-Collects, compiles, and analyzes data and provides summaries and observations to manager.

-Coordinates office facilities including space, lease, furniture, equipment, supplies, building and telephone system maintenance.

-Completes HR activities for the unit including; job posting, recruiting, interview process, new hire installation, office setup, annual comp process, organization hierarchy, and time management.

-Approves expenditures up to assigned dollar amount.

-Triages telephone calls ensuring that correct action is taken without direction from the Manager.

-Organizes and maintains databases, files of supervisor's correspondence, records etc. following up on pending matters.

-Produces a variety of correspondence, reports, and presentations using the appropriate software.

-Provides follow-up on issues identified in meetings (e.g., staff assignments, etc.).

-Communicates and/or coordinates manager's instructions and requests with various individuals and/or departments.

-Coordinates Managers' outside professional and civic obligations.

-Prepares specialized reports, gathering, summarizing and analyzing data and developing recommendations for manager.

-Participates and/or leads special projects.

-Prepares complex budget reports.

BACKGROUND/EXPERIENCE desired:

5+ years executive administrative support experience within a Fortune 500 company Proficient in MS Office Suite including: PowerPoint, Excel. Self-starter with initiative to recommend viable resolutions to problems. Demonstrated interpersonal skills with internal and external constituents. Excellent written and oral communication skills.Prior experience within an IT organization is desirable.

EDUCATION

The highest level of education desired for candidates in this position is a Associate's degree or equivalent experience.
