POSITION SUMMARY

bswift is currently seeking an experienced Senior Administrative Assistant to join our growing client service team.

Located in downtown Chicago, bswift offers software and services that streamline benefits, HR and payroll administration for employers and public and private exchanges nationwide. bswifts state-of-the-art cloud-based technology and outsourcing solutions significantly reduce administrative costs and time-consuming paperwork, making life easier for administrators and millions of consumers who enroll in benefits with bswift.

Our Senior Administrative Assistant will assist in helping three of bswift's Senior Vice Presidents meet and exceed expectations by supporting them through coordination of daily meetings, expenses, travel and special projects.

Responsibilities include, but are not limited to:

  • Providing general administrative support to 200+ employees ranging from standard daily tasks to project managing special events and projects for Senior Vice Presidents.

  • Coordinating Senior Vice Presidents' calendars, scheduling and confirming meetings, arranging for meeting rooms or facilities, as well as making and confirming travel plans and expenses.

  • Monitoring outstanding assignments delegated to the Senior Vice Presidents' subordinates for status updates

  • Importing data into our bswift system/Salesforce as well as other platforms as needed.

  • Managing weekly reports to/for various teams to ensure timely reporting with accurate client data for all teams.

  • Interfacing with both client service team and clients by email, phone, or promotional items on a regular basis.

  • Exercising judgment with defined procedures and practices to determine appropriate action.

    Qualification Requirements:

  • Minimum of 2 years of experience in an administrative role supporting high level managers and/or executives.

  • Proficient in desktop applications such as Microsoft Word, Excel, PowerPoint, Outlook, etc.

  • Strong written and verbal communication skills and the ability to communicate with both technical and non-technical personnel; ability to listen, clarify and respond well to questions.

  • Ability to take initiative to meet challenges with resourcefulness and new innovative approaches while maintaining a high level of quality.

  • High level of productivity, reliability, responsibility, attendance, dependability, organization, accuracy and thoroughness.

  • Ability to operate and make timely decisions in an ambiguous, fast-paced atmosphere.

  • A passion for teamwork.

    Education

    The minimum level of education desired for candidates in this position is a Bachelor's degree or equivalent experience.
